1. Who we are

Belogic AI is a company established in Belgium that builds business AI agents (Hugo, Maya, Lea) for HSE, recruitment and telephony. The data controller is Belogic AI SRL, reachable at contact@belogic.ai.

2. What data we collect

We only collect the data needed to deliver our services:

• Contact data: name, email, phone, role — provided through our forms.
• Business data: workflows to automate, internal documents you share with us as part of an engagement.
• Technical data: IP address, browser type, pages visited — collected automatically for security and anonymized analytics.

3. Why we process your data

• To respond to your contact and demo requests.
• To deliver the analysis and deployment engagements agreed by contract.
• To improve our services (anonymized statistics).
• To meet our legal and tax obligations.

4. Legal basis

Depending on the context, our legal bases are:

• Consent (forms, newsletters).
• Performance of a contract (client engagements).
• Legitimate interest (site security, analytics).
• Legal obligation (invoicing, accounting archives).

5. How long we keep your data

• Contact requests: 36 months after the last exchange.
• Contract data: 10 years after the end of the contract (accounting obligation).
• Technical data: 13 months maximum.
• Data processed on behalf of clients: per the durations defined in the data processing agreement (DPA).

6. Who we share your data with

We do not sell any data. We only share with technical sub-processors required to deliver the service:

• Cloud host (European Union, ISO 27001 certified).
• Transactional email tools (under a data processing agreement).
• Partner AI models, configured not to retrain on your data.

No transfer outside the EU without standard contractual clauses or an adequacy decision.

7. Your rights

Under the GDPR, you have the following rights:

• Access to your data.
• Rectification if it is inaccurate.
• Erasure under certain conditions.
• Restriction or objection to processing.
• Portability of your data in a structured format.
• Withdrawal of your consent at any time.

8. Security

We apply technical and organizational measures to protect your data:

• Encryption at rest (AES-256) and in transit (TLS 1.3).
• Role-based access control (RBAC).
• Audit logs retained and auditable.
• Encrypted backups and regular restore tests.
• Annual security review.

9. Cookies

We only use cookies essential to the operation of the site. No advertising cookies and no third-party tracking. A banner lets you manage your preferences on your first visit.

10. Complaints

If you believe your rights are not being respected, you may file a complaint with the Belgian Data Protection Authority: www.autoriteprotectiondonnees.be.

11. Changes

This policy may evolve. The update date is shown at the top of this page. In case of a substantial change, we will notify you by email or via a notice on the site.
